A team of student volunteers will be present at the conference. The students will be of help at all times. Please feel free to contact them with any questions you might have. 

Participants

– Attendees must be 18 years of age to attend the Conference, and all related events.  Requests for any exception to this term must be made in writing to the Conference Organizer.

– Each Participant understands that participating in the events is voluntary and may involve certain risks of physical injury, damage to property, and other damages or losses that may be sustained by a participant. Each participant must assume all risk of damages, property loss, and personal injury which may occur by participating in the events. 

– Smoking inside the hotel is prohibited and all weapons are not allowed to enter the hotel.

Regulations on Hotel Rooms and Halls:

– Individual guests will be responsible for their own incidental expenses. All charges incurred are to be settled by the individual upon departure.

– Hotel rooms provided by the conference to the speakers are complimentary and not mandatory.  Speakers can opt to book to a different hotel at their own expense. Reservations are exclusive for the speakers only and are not extended to their family members. Rooms provided by the conference to the speakers are not refundable or rebookable.

– Due to the limited number of hotel rooms in the conference venue, other speakers will be accommodated to the different hotels.  Abha palace rooms will be booked according to the set of priorities such as ladies, speakers from other GCC countries and persons aged. 

– When each guest checks in, they will be required to present a credit card on which a sufficient amount of pre-authorization can be obtained to cover the anticipated room and other charges.

– “No-show” rooms will be released at 12:00 noon the following date, unless reconfirmed as “arrived” by individual/company.

– In the event that confirmed reservations fail to check-in, the individual/company will be charged to an equivalent of 100% of the accommodation rate for each of the night reserved and not used.

– The society will not assume any liability of loss, damage or theft on any item left in Exhibitions and Conferences. All belongings are at the sole risk of the owner.

– No food and beverages may be brought into the venue for consumption unless prior consent from the authorities has been obtained; note that this may require additional charges.

– Speakers who are resident doctors, fellows, students and others will have a triple or double sharing room with other resident speakers. Accommodation are not guaranteed to be in the same venue of the conference.  

Badge

– Badges are required for entry to all the events. Badges are non-transferable and the staff may request ID at any time that they believe someone may be carrying someone else’s badge.

– If you lose your badge while attending the conference, please report it immediately at the registration desk. You will need to show proof of your identity to receive a replacement badge.

– There is a 200 SAR administrative fee for providing a replacement badge.

– Conference-issued badges are the sole property of the Conference Organizer and must be surrendered upon demand to the Conference Organizer representatives.

– The badge must be prominently displayed during the Conference or designated off-site activities. 

– False certification of an individual or any other method or device used to assist unauthorized personnel to gain admittance to the conference, will be a cause for expelling and/or banning from entering into the conferences. 

– For exhibitors, this would also warrant the removal of the exhibitor’s booth from the floor without obligation on the part of Conference Organizer for a refund of any fees.

– The purchase of conference badges will serve as a legal consent and acknowledgment of the rules of conduct, this will include but not limited to, late or onsite registration.Taking Photos & Videos.

– The conference is held in a closed space; therefore, Conference Organizer prohibits participants, exhibitors, sponsors, news organizations or other companies from photographing or video/audio-taping of Conference activities without prior approval.- Society and PCO reserve the right to use images taken at the Conference with your photograph in future marketing materials. 

Meals

– Coffee breaks and lunch will be available for confirmed speakers and delegates with full registration. 

Coffee breaks are located inside the exhibition hall.

Lunch will be served at 2 difference areas, one for female and the other for male. 

– Signage will be provided in the conference.

Breakfast will be served thru the hotel’s restaurant as part of the room accommodation to where you are staying. Please note that the conference nor the society and its PCO do not guarantee this. 

Dinner is not provided.
