Conference Guidelines
For Conference Faculty
Dear Guests, Participants and Sponsors, to ensure safety and comfort of everyone during their stay, we have clarified some guidelines; each participant assumes and understands that participating in the events is voluntary and may involve certain risks of physical injury, damage to property, and other damages or losses that may be sustained by a participant.
Important Note:
- As a courtesy to your colleagues please silent mobile phones while in the scientific sessions.
- No audio or videotaping is permitted in the scientific sessions, instructional courses, or exhibition areas.
- Speakers with society membership will be the only author given the conference benefits.
INSTRUCTION FOR SPEAKERS:
- Please make sure that you visit the Speaker’s Ready Lounge onsite – a minimum of 2 hours before you are scheduled to give your talk.
- It is also recommended that you get familiar with the location of the session halls assigned for your talk/s.
- Adhere to all Saudi Commission for Health Specialties (SCHS) and Saudi Exhibition and Convention Bureau (SECB) regulation in this website as well as all the regulations sent to you.
- All materials that you have provided must be your own and original work; it does not infringe upon the intellectual rights of any third party.The society/PCO is free from all claims of every kind, on account of using your materials.
- Adhere to the time allotted, specified by the session chair.
- Notify the society in the event that an emergency should prevent you from meeting your obligations as a speaker.
- No compensation/honorarium/incentive/royalties/reimbursement in connection with your presentation is due unless otherwise agreed upon by the society in a written contract.
- No any types of promotion, marketing or selling of any product or service.
- The chairman of the sessions guarantees the respect of speaking time of moderators, panelists and speakers.
- The session’s slots must start on time and not exceed on the time allotted.
- In order to keep your talk on schedule, consider including slides based on – a slide per minute.
Data Presentation:
The SORL 2021 production team is using Preseria to collect all presentation files. The room you will be speaking in will be fully equipped for your presentation, but we do insist that your presentation is run from the production-provided laptops/equipment. For that reason, no personal laptops may be used for presentations.
Presentations should be formatted for standard screen (4:3). All presentations must be in a PowerPoint (.pptx file).
Please use the PowerPoint file template below for your presentation.
PowerPoint Template
In PowerPoint, please save your file as a .pptx. Do not use .ppt, .pps, or other formats, as this will affect your file’s ability to open correctly. Also please make sure that your file does not have automatic slide advance timings.
If you have media/video as part of your slides, please also upload a separate copy of just the media file. mp4 format is preferred.
Fonts
The session computer will have the standard font sets included in Mac OS, Windows 10, as well as PowerPoint and Keynote. Please refrain from using custom or purchased fonts, as these will not be available and may impact how your presentation looks.
All presentation files must be uploaded to Preseria no later than November 30,2021 at 5:00 p.m. To upload your files, please click on the “Register / Login” button above. You will be taken to a registration page where you will be asked to create a password for your Preseria account. If you are already registered, you will be taken to the login page.
If you wish to modify your presentation after uploading, please edit the document on your own computer, log back in, and upload your new version using the same filename. This way we will always have your latest presentation ready. You may upload a recent file until Dec. 12, 2021 – 5:00 p.m.
If you have more than one presentation, when you log in to the Preseria upload portal, you will find sections corresponding to the times for all of your presentations. Please be sure that you upload the correct file to the corresponding time slot, or it will not be available at the time you are scheduled to present.
You may also visit the speaker’s room (onsite) to check your presentation at least 2 hours before the start of the session.
Please note that the conference computers in the session halls are being supplied with Microsoft Office 2013.
Presentation must be prepared in English.All presentations should be in PowerPoint format and PC compatible.
Save your file with a .pptx extension for better compatibility.
Use the ‘Insert’ function to integrate media elements, such as images and video.
Try to limit the size of your videos and sounds to 1GB and use formats such as .mp4 and .wmv if possible.
Please make sure to check all your presentations in the session hall where your lecture is taking place during a coffee or lunch break prior to your session, do this at least 30 minutes before the start of the session.
Arrive at the session area 10 minutes prior to the published start time and introduce yourself to the moderator, review the timing method, be sure they know how to pronounce your name.
Please sit in the front row for convenient access to the stage.
Disable automatic advanced timer and internet connection.
Please use precise text with a maximum of 6-8 lines containing 5-6 words.
Save each presentation in a separate file which includes all the inserted videos. Name it in a DRTF manner; D: Date R: Room T: Time and F: Family Name (Ex: D1R1-10:10, Dr. Smith).
Please note that under no circumstances will personal laptops be used in the session rooms.
To get full privileges of speakers, you need to upload your presentations to the Preseria software application which the organizing committee will provide you.
Important note for
Chairpersons & Panelists:
Selection of chairpersons and members of panels shall be made by the scientific committee and the president of the society. The members of the chair and panel will be selected from the list of the speakers. Chairpersons and panelists must have at least 1 oral presentation during the conference to be nominated.
Speakers :
The person who will be allowed to speak and present during the conference is the name that appears in the program. As per the regulation of the Saudi Exhibition and Convention Bureau, no one is allowed to speak on behalf of the registered speaker. If the speaker will not be able to present, he or she has to inform the organizing committee in writing/email at least 1 month prior to the conference. Without the written notice, all information in the submission is final.
Conference Certificates:
A. Certificate of Appreciation
This certificate will only be given to the presenting author of the paper.
B. Certificate of Attendance
Participants will receive an E-Certificate after completing the conference evaluation sent via your registered email after the completion of the conference.
